AI Transparency

1. Which AI services Docsyde uses

Docsyde uses OpenAI as our AI provider for the AI features in the Service, including document drafting, summarization, instruction execution, and workflow automation. When you use any AI-powered feature inside Docsyde, the request is processed by OpenAI on our behalf.

We use the OpenAI API under a commercial agreement that enforces the data handling described below. We do not use other general-purpose foundation model providers as part of the production Service. If that changes, this page will be updated and the change date above will reflect the update.

2. What data is sent to OpenAI

We only send the data that is necessary to fulfill the specific request you initiate. In practice, this typically includes:

  • The text content of the document, instruction, or prompt that the AI feature is operating on.
  • Limited contextual metadata required for the model to produce a useful response (for example, the field names you are asking the AI to fill or the workflow step the AI is executing).
  • System instructions composed by Docsyde that describe how the model should behave for that feature.

We do not send:

  • Your password or any authentication credential.
  • Payment information.
  • Document content from other documents that are not part of the active request.
  • Data from third-party integrations you have connected, except for the specific records required to fulfill the active request (for example, a CRM contact you explicitly asked the AI to summarize).

3. How OpenAI uses your data

Docsyde uses the OpenAI API. Per OpenAI's API data usage policy, data sent to the API is not used to train OpenAI's general-purpose models. OpenAI retains API requests for a limited period for abuse and trust-and-safety monitoring, and then deletes them. Docsyde does not opt in to any data sharing program that would change that posture.

You can review OpenAI's current API data handling here: openai.com/policies/api-data-usage-policies.

4. Human review and control

  • AI-generated drafts, suggestions, and automated actions are presented to you for review before any irreversible action is taken (for example, sending a document or writing back to a third-party system).
  • You can disable AI features at the workspace level by contacting [email protected].
  • You can request export or deletion of your data, including any historical AI inputs and outputs we store in your workspace, in line with our Privacy Policy.

5. Subprocessors and security

OpenAI is a subprocessor of Docsyde for AI processing. Data in transit to OpenAI is encrypted using TLS. Data we store in connection with AI requests (for example, the prompt history attached to a workflow run) is encrypted at rest and access-controlled to your workspace.

6. Changes to this page

If we add or change AI providers, we will update this page and reflect the change date above. Material changes that affect how your data is processed will be communicated by email to workspace administrators.
